Welcome to Music Universe. We are grateful to be part of your musical journey. These policies are designed to support clear communication, fair scheduling and a positive learning experience between students, parents, teachers and our administration team.

For Students & Parents

Tuition Fee & Payment

Tuition fees are calculated based on lesson time. Tuition invoices for the previous month’s lessons will be sent via WhatsApp between the 3rd and 7th of each month.

Any questions or issues regarding the invoice are welcome before payment is made.

For Students & Parents

Lesson Cancellation

If a student needs to cancel or reschedule a lesson, please notify Music Universe directly. To keep records clear and fair for everyone, informing the teacher only does not count as official notice to Music Universe.

General lesson cancellation Please notify Music Universe at least 48 hours in advance.
Less than 48 hours’ notice The lesson will be charged as usual.
Makeup lesson Each student may receive up to 2 makeup lessons every 6 months, subject to teacher availability.
Cancellation of an arranged makeup lesson If a confirmed makeup lesson is cancelled by the student, another makeup lesson will not be arranged.
Stopping lessons At least 1 month’s written notice should be given to Music Universe.
Notification contact Please notify Music Universe directly, not only the teacher.

We understand that unexpected situations may happen. Please contact Music Universe as early as possible so that we can assist you properly.

For Students & Parents

Makeup Lessons

Makeup lessons are designed to support consistent learning when lessons are missed with proper notice. All makeup arrangements are subject to teacher availability and Music Universe’s scheduling arrangement.

Makeup Arrangement

  • Each student may receive up to 2 makeup lessons every 6 months.
  • Makeup lessons are subject to the teacher’s available schedule.
  • Makeup lessons may be arranged online if necessary and suitable.

Important Notes

  • If a student cancels a confirmed makeup lesson, no further makeup lesson will be scheduled for that missed lesson.
  • Additional lessons may be arranged separately for exam, competition or performance preparation.
  • Regular attendance is strongly encouraged for steady musical development.
For Students & Parents

Ceasing or Discontinuing Lessons

Our teachers reserve dedicated time for each student. To respect the teacher’s schedule and allow proper teaching adjustments, students are kindly requested to provide one month’s written notice before discontinuing lessons.

Written notice should be submitted to Music Universe directly. Informing a teacher only does not count as official notice to the administration team.

Learning Progress

Music Examinations, Assessments & Competitions

Music Universe encourages students and parents to discuss examination, assessment and competition requirements with the instructor before submitting any application.

  • Fees paid for music examinations, assessments and competitions are non-refundable once the application or booking is confirmed.
  • Results may vary depending on preparation, attendance and individual performance.
  • Tuition fees for lessons that include preparation for examinations, assessments or competitions are non-refundable.
  • Music Universe and our teachers will support students with care, but specific results cannot be guaranteed.
Learning Support

Teaching Materials

If learning materials are required during the teaching process, such as textbooks, workbooks, practice papers or other learning tools, Music Universe will make reasonable efforts to provide them according to the student’s needs.

Any related costs will be clearly listed on the monthly invoice. Parents are welcome to contact us at any time if they have questions about teaching materials or related charges.

For Parents

Communication with Parents

To ensure accurate records and fair arrangements, all class adjustments, cancellations and rescheduling requests should be communicated through Music Universe’s official WhatsApp account.

  • Please avoid making private class arrangements directly with teachers.
  • If you have questions or feedback regarding lessons, please contact Music Universe directly.
  • We will provide timely responses and make reasonable efforts to address your concerns or suggestions.
  • If a teacher is late, the teacher will make up the missed teaching time on the same day or during the next scheduled lesson where appropriate.

This policy helps us uphold our commitment to both clients and teachers, while maintaining a fair and efficient scheduling system.

Professional Standards

For Teachers

Communication Methods

  • All class rescheduling and cancellations should be communicated via Music Universe’s approved channels.
  • Teachers should not privately change class schedules with parents or students without notifying Music Universe.
  • Any emergency lateness or absence should be reported to Music Universe as soon as possible.

Professional Boundaries

  • Teachers should keep communication professional and lesson-related.
  • Class changes should be handled through Music Universe for proper record keeping.
  • Private lesson arrangements outside Music Universe are not permitted.
Teacher Cancellations: If a teacher cancels a lesson due to illness or unforeseen circumstances, Music Universe will make reasonable efforts to provide a substitute teacher or arrange a makeup lesson.
Media Consent

Photo & Video Release

We are proud of our students’ progress and achievements. During lessons, recitals, workshops and Music Universe-related events, we may take photographs or videos to record learning moments and celebrate student development.

By enrolling with Music Universe, parents grant permission for photographs and videos of students to be used in:

Photos and videos will only be used for purposes related to encouragement, progress sharing, learning records and promotion of Music Universe.

Opt-out option: If you do not wish your child’s photos or videos to be taken or published, please email hkmusicuniverse@gmail.com with the subject line: “Media Consent Exemption”. We respect every family’s preference and are happy to accommodate opt-out requests.

Safety & Responsibility

Injuries, Personal Belongings & Damages

Music Universe aims to provide a safe and respectful learning environment. Students, parents, legal guardians and guests are encouraged to take care of their personal belongings during lessons, events, workshops and activities.

  • Please keep personal belongings with you during Music Universe activities.
  • Music Universe may not be able to take responsibility for personal items that are lost, misplaced or damaged.
  • If any equipment, facilities or property is damaged due to careless or inappropriate use, Music Universe may contact the relevant family to discuss reasonable compensation.
  • Students and parents are kindly asked to follow reasonable safety instructions during Music Universe activities.

Severe Weather Policies

Student safety is our priority. The following arrangements apply during tropical cyclone warnings and rainstorm warning signals.

Signal Class Arrangement
Signal No. 1 All classes will proceed as normal unless otherwise notified by Music Universe.
Signal No. 3 Pre-school and kindergarten students may cancel private classes free of charge with at least 1 hour’s notice. Group classes and classes for primary and secondary students or above will proceed as normal unless otherwise notified by Music Universe.
Signal No. 8 or above All classes will be cancelled or rearranged free of charge. Classes will normally resume 2 hours after the signal is cancelled or reduced to a lower signal, unless otherwise notified by Music Universe.

Rainstorm Warning Signal

Amber Rainstorm All classes will proceed as normal unless otherwise notified by Music Universe.
Red Rainstorm Pre-school and kindergarten students may cancel private classes free of charge with at least 1 hour’s notice. Group classes and classes for primary and secondary students or above will proceed as normal unless otherwise notified by Music Universe.
Black Rainstorm All classes will be cancelled or rearranged free of charge. Classes will normally resume 2 hours after the Black Rainstorm Warning is cancelled or lowered, unless otherwise notified by Music Universe.

Rescheduled classes will be arranged by Music Universe according to teacher and studio availability. We will make reasonable efforts to offer suitable arrangements for affected students.

Music Universe is committed to making music accessible to learners with different needs and backgrounds. If you or your child has any special needs, please contact us in advance so that we can make reasonable arrangements.

  • Student privacy will be respected.
  • Parents are encouraged to inform us of any specific needs or areas requiring special attention.
  • This may include learning needs, cultural background, religious considerations or other relevant information.
  • Our teachers will make reasonable efforts to support students with patience, responsibility and professionalism.
